Will we be notified that the talks are available on demand?

Yes, all delegates that have registered and paid to attend the conference will be notified by email once the talks are available to access.

How will the talks be recorded?

The talks will be recorded by the venue and will include the speaker and the slides. The view of the audience from the back of the room may be included in such recordings.

How will I know which talks will be available on demand?

Please note the following:
– the sponsored symposium will not be available on demand. Recording of the talk on any such device and/or posted via social media is forbidden due to ABPI rules.
– not all lecturers will give their permission to record their talk as it may contain sensitive information and / or unpublished research data.

Are the talks available on demand included in the registration fee?

Yes, if you have paid the registration fee to attend the conference, you will have automatic access to the lectures for a six-month period following the close of the conference.
Please note that it will take a little time to upload all recorded talks but you will be notified.

Are the talks being recorded and will they be available on demand?

Please note that not all lecturers will give their permission to record as it may contain sensitive information and / or unpublished research data.
Most speakers give their consent to have their talks recorded at the conference and these will be available on demand for 6 months following the close of the conference.
It will take a little time to upload all recorded talks but you will be informed when they become available.

Will I receive a certificate for presenting my poster(s) at the conference?

All poster authors will have a PDF copy of their poster certificate(s) emailed.

What time will the posters need to be available at the conference?

All posters will need to be available by 9am on the first day (Thursday 19th June) of the conference. If you are unavailable to attend, please arrange a colleague to bring the poster and display it before the start of the conference.

Will I need to bring a printed copy of the poster(s) to the conference?

All delegates will be required to bring a printed copy of their poster(s).
Poster formats accepted at the conference are as follows
– A1 Portrait
– A1 landscape
– A0 Portrait
Please note we cannot accept posters in A0 landscape under any circumstances due to constraints of the space available at the venue and on the poster boards we use.

How will I know when I need to be available for the poster tour?

Please see the program for the timings of the poster tours.
Please note that there will be poster tours on both days, but you will only need to be available for one of these sessions. Authors will be informed of the date / time at the time they are notified that their abstract(s) have been accepted.

Why are the poster prizes being judged before the conference and why I am being asked questions that are not being included in the poster prizes?

Please note that the poster prize is based upon the poster itself and not the poster tour. The purpose of the poster tour is to offer a forum to discuss your work, engage with the delegates of the conference and receive peer feedback from the poster tour lead.

I have several posters that have been accepted for the Welsh Stroke Conference, and I am the only author available to attend?

Delegates who have several posters at the conference will be allocated boards together so that if only one author is available to attend then they can be presented together in the same session.

Why do I need to upload a PDF copy of my poster(s) to a secure area of the website ahead of the conference?

All submitting authors must upload their poster(s) by Friday 6th June.
You will receive an email with a secure link to upload your final poster(s) prior to the deadline.
Please note the following
– must save their final copy of their poster(s) in a PDF format.
– must make sure that their poster(s) are easily identifiable with the tile of the poster(s)
– the link is for only uploading, you will not be able to gain access to the content of the folder.

What size poster(s) do you accept at the Welsh Stroke Conference?

Poster formats accepted at the conference are as follows:
– A1 Portrait
– A1 landscape
– A0 Portrait

When will we find out if our abstract(s) have been accepted?

Once submission has closed on Friday 2nd May at 5pm, all abstracts will need to be reviewed by two independent reviewers.
All presenting authors who have submitted abstracts will be notified from WelshStrokeConference@cardiffmet.ac.uk on Wednesday 21st May

What is the marking process?

It is important to us at the Welsh Stroke Conference that everyone who contributes abstracts for consideration of publication understands our marking process. Therefore, please find below a description of how your contribution will be reviewed:
• Firstly, following submission, your abstract details and those of all submitting authors will be collated by our conference organiser.
• After the closing date for submissions we will allocate the abstracts to a team of academics, clinical academics and clinical researchers to judged anonymously.
• Each abstract will be marked by two individuals with the mean average of these marks being calculated. The two markers will review the abstracts independently with no discussion prior to mark allocation.
• In the event of any conflicts of interest, the marker will declare this in advance to ensure a limitation of bias.
• Once all marks have been collated an adjudication meeting will take place where any disparate marks are discussed. The Chair of the conference organising committee will have final word if needed.
• Abstracts will be rejected if they are below the minimal accepted score unless there are comments from the markers that suggest benefit of inclusion.
• Successful abstracts will be invited to submit a poster to the conference and to participate in a poster tour. You will be assigned a poster tour on one of the two days of the conference. Details about this will be made available separately.
• The top 5 abstracts will be invited to present their work on the podium.
• Posters will be marked separately to the abstracts and the winner will receive a prize and certificate. The winner will be announced on the day of the conference.
• Please note that the poster prize is based upon the poster itself and not the poster tour. The purpose of the poster tour is to offer a forum to discuss your work, engage with the delegates of the conference and receive peer feedback from the poster tour lead.

Will I receive confirmation that you have received my abstract(s)?

As soon as you click submit, there will be an opportunity for Abstract authors to save their responses.
If you have not been able to complete this action, please email Lizzie Williams on WelshStrokeConference@cardiffmet.ac.uk to check to see if we have received your abstract.

How do we submit multiple abstracts?

Submitting authors will need to submit each abstract individually via Submit an Abstract.
Please make sure you enter your email correctly as you will receive emails regarding your submission(s).

What are the guidelines for submitting an abstract?

The abstract must be no more than 250 words (including headings).
Please note that your abstract should not contain any figures, tables, or graphs.
Please make sure you use the following headings:
– Introduction
– Methods
– Results
– Conclusions

If I have already presented my poster at another conference, can I submit my abstract/poster to the Welsh Stroke Conference?

You can submit your abstract(s) to the following conferences:
– a local e.g. WSC
– a national e.g. UKSF
– an international e.g. ESC

Do presenting authors get a discount on their delegate fee?

No, unfortunately delegates who are presenting their poster(s) at the Welsh Stroke Conference do not receive a discount on their registration fee.

Do I need to register and pay to attend the conference if I am presenting a poster at the conference?

All presenting authors must register and pay to attend the conference via Register for the 2025 conference

What are the abstract deadlines?

The abstract deadlines for the 2025 Welsh Stroke Conference are as follows:
Submission opened: Wednesday 19th February
Submission deadline: Friday 2nd May at 5pm
Judging of abstracts: Monday 12th May
Notification of success: Wednesday 21st May
Uploading of all poster(s): Friday 6th June

Does the venue have Wi-Fi?

The venue has free Wi-Fi

How do I access / get to the venue?

Please All Nations Centre Experience | All Nations Centre for access to the venue.

Is it free to park at the venue?

The venue has plenty of parking spaces and it is free to park all day.

When will we receive attendance certificates?

All attendance certificates will be issued and sent via email to delegates after the close of the conference.
Please note the following:
– Delegates must make sure that they sign in on arrival for both days that they attend.
– As the conference closes on Friday 20th June at 3pm, attendance certificates will be issued as soon as possible the following week. All delegates who wish to receive an attendance certificate must complete the conference survey. Thank you for your understanding.

How many CPD credits does the Welsh Stroke Conference receive?

The conference is RCP CPD accredited, and we are in the process of finalising the total number of credits available for this event. The number will be announced as soon as we have received confirmation.

I have multiple allergies that the venue needs to be aware of?

Please make sure you make us aware of any catering requirements when registering to attend the conference.
All dietary requirements need to be confirmed with the venue at least one week prior to the start of the conference. Any last minute specific dietary requirements are unlikely to be catered for.

I need an official invitation letter to get permission to attend the conference?

Please contact Lizzie Williams on WelshStrokeConference@cardiffmet.ac.uk for this.

My work computer will not allow me to complete my payment?

Your organisation firewalls may be blocking the ability to complete the transaction.
Please try on another device which is not connected to your organisation’s network.

I am having difficulty completing my payment for my registration, can I pay via phone?

Unfortunately, we do not accept payments over the phone as we do not have the facilities to do this.
All payments must be made via the university estore. Please email Lizzie Williams on WelshStrokeConference@cardiffmet.ac.uk to make sure you have a valid link for payment.

I cannot remember what sessions I have registered for.

You should have received a confirmation email after registering to attend the conference.
Please make sure you have checked your spam/junk box as it may have landed their due to your organisation’s security system settings.
If it has not gone in the spam/junk box, please email Lizzie Williams on WelshStrokeConference@cardiffmet.ac.uk

I have changed my mind and / or selected the wrong session when registering?

Please note that you have only registered your interest in attending these sessions.
Attendance to each of these sessions, will then be on a first come basis.
Please make sure that you arrive at the allocated room(s) in plenty of time to reserve a seat.

Why do I have to decide which session(s) to attend in advance of the conference?

We need to make sure that we allocate the right session to the appropriate room. Some sessions will have restricted numbers and these need to be confirmed in advance.
Please note that you will only register your interest in attending these sessions. Attendance to each of these sessions, will then be on a first come basis. Please make sure that you arrive at the allocated room(s) in plenty of time to get a seat. Once the room is full, then the session will be closed to new delegates.

Why have I not received any communication following registering for the conference.

Please contact Lizzie Williams on WelshStrokeConference@cardiffmet.ac.uk to make sure we have received your registration details.
If your employer has registered your attendance on your behalf, it is important that they include your email address instead of theirs, so you receive a confirmation email and are kept up to date with the latest conference information.

We’re looking to order some tickets for this stroke conference, and wondered if it would be possible for you to invoice us for the tickets rather than going through the online payment portal? If so, would you require a PO number before an invoice could be raised your side?

Staff must register for the conference themselves making sure that they include their own email address. This is to make sure that they receive confirmation that they are registered to attend the conference.
After they have registered, please then email Lizzie Williams on WelshStrokeConference@cardiffmet.ac.uk with the following information:
We will need:
– Names and bands of each member of staff you would like us to invoice you for. This means that we can create one invoice for all the staff you wish to fund to attend the conference.
– Your name and postal address
– An email address to send the invoice directly to.
AND most importantly a Purchase Order Number. We cannot issue an invoice without this.

We would like to book places for staff to attend the conference. Is it possible for you to invoice us directly for places at the conference rather than individual staff members needing to pay for themselves and reclaim costs?

How do I register for the conference and my employer pay for my place?

Please register yourself personally for the conference making sure you include your own email address. Please make sure that you select the option on the registration form that notifies us that you are waiting for health board funding.
After registering, please email Lizzie Williams on WelshStrokeConference@cardiffmet.ac.uk with the following information from your employer:
– Your employer’s name and postal address
– An email address to send the invoice directly to.
AND most importantly a Purchase Order Number. We cannot issue an invoice for your attendance without this.

I do not have my study leave approved yet and I would like to register before the end of the early bird rate?

Please register for the conference via our website and email Lizzie Williams on WelshStrokeConference@cardiffmet.ac.uk to let her know your position.

Is there any possibility of using split tickets across the 2 days of the conference this year? I.e. 1 member of staff attending on 1st day, another on the 2nd day?

This is strictly not allowed.

Can the tickets be shared amongst colleagues?

This is strictly not allowed.

Can delegates register for one-day only?

No, the conference registration fees are for the two-days only.
If delegates are not able to attend for part of the conference for any reason, lectures will be available on demand for up to 6 months following the close of the conference.
Please note that not all lecturers will give their permission to record their talk as it may contain sensitive information and / or unpublished research data.

What does the registration fee include?

  • Access to all sessions, posters, and exhibition hall
  • All refreshments
  • Lunch
  • 6-month access to recorded lectures following the close of the conference.
